First Method: On the Management Screen, click on Dashboard. Then select the desired Location and Date Range

Second Method: On the Management Screen, click Locations > Reports. Then select the desired Location and Date Range.

Third Method: On the Management Screen, click Accounting > Profit/Loss Report. Then select the desired Location and Date Range.

1. On the Management Screen, click on Locations > Settings. Then click Edit > General Info for your location.

2. Fill in all the information about your location (Address, Phone Number, Tax Info, etc). This information will appear on your receipt. Click Save

3. Then click on the Location Preferences tab at the top and check the boxes that correspond to your location. Click Save

4. Move to the CRM Mandatory Fields tab at the top. Here you can select what information is mandatory when adding a new customer to your account. Click Save

5. Click on the competition tab next. Here you can set up individual competition or between locations. Click Save

6. Then click on the Merchant Services tab at the top and choose between an external credit card machine or a built-in credit card reader(Nova Integrated) and fill out the information from your merchant service provider. Click Save

7. Click on the Alerts tab at the top. Here you can set up what alerts you can get to your email and/or mobile phone. Click Save

1. On the Management Screen, click on Locations > Settings. Then click on Edit > Alerts for the desired location.

2. Click on the desired Alert you would like to receive, then click on “Add New User”. You may add more users by clicking “Add New User” again.

3. Select how you would like to receive the alert by turning on either of the toggles. Then click “Save”

Note: If you are not able to check the Mobile App option, you will need to sign into the mobile app first as the selected user.

1. On the Management Screen, click on Locations > Settings. Then click Edit > Competition for the desired location.

2. Choose the desired competition from the list and select the competition time frame.

Team Motivation: allows for several locations to compete against one another.

Individual Motivation:  allows for individual employees within a location to compete against one another.

The types of competition include;

Total Sale: Competition of total sales by location/employee

Highest Sale: Competition of highest sale by location/employee

Number of Products: Competition of number of products sold by location/employee

Choose how long your Competition Timeframe will last before restarting by clicking “Daily”, “Weekly”, or “Monthly”

Select Regions to allow locations from multiple regions to compete against each other.

Select the number of Employees or Locations viewable on the sales screen in the View Top box

Choose to show the amount of money generated by each employee/location or hide it by clicking Show Ranking Only.

3. Click “Start Competition” to save the settings

1. On the Management Screen, click on Locations > Settings. Then click on Edit > General Info for the desired location.

2. Under the “Receipt Invoice Configurations” tab you can edit the “Refund Policy”. Click “Save” when you are done.

1. On the Management Screen, click on Locations > Regions. Create a new region by clicking “Add New Region” or edit an existing region by clicking on “Edit”.

3. Once the region has been created, go to Locations > Settings. Select the location you want to add to the new region and click Edit > General Info.

4. Select the new region from the “Region” dropdown menu, then click “Save”.

Note: Remember that after creating a new region, you must give yourself access to that region before exiting the manager screen by going to “Users” and then “Settings”, finding your user profile, clicking “Edit user” and checking the box next to the new region name.

To copy Location Preferences from one Location to another: 

1. On the Manager’s Screen choose Locations > Settings. Then click Edit > Preferences.

2. Fill out the Location Preferences for the first store. Then click “Save”.

3. Click Edit > Preferences next to the new location you would like to copy the preferences into.

4. Select the first location from the drop down menu next to “Copy Preferences from another location:”. Then click “Copy”. Confirm that the changes have been copied, then click “Save Preferences” at the bottom.

3. Option A: By clicking “Enable cash count” you are allowing anyone with Sales Representative access to perform Cash Counts. This is when the money in the drawer is counted and logged

4. Option B: By clicking “Open cash drawer ONLY after a sale has been made” Everyone including the Full Owner will be blocked from performing a Cash Count and the drawer will only be opened in the event of a Cash Sale.

Setting up Full and Minimum Capacities

Setting up Full and Minimum Capacities will help you keep your inventory stocked without over filling it.

Full Capacity – The ideal amount you want in your inventory when you are fully stocked.

When re-ordering from your storage location through transfers or from your wholesaler in Purchase Orders, Nova will recommend how many to order based on your Full Capacity.

Minimum Capacity – This is the number that you do not want your inventory to go below before ordering more.

In Nova Alerts you can sign up to receive an alert when your inventory reaches or goes below the Minimum Capacity. In addition when your inventory number goes below the Minimum Capacity the line will light up in Pink to alert you that you are running low.(TEST)

1. From the Manager’s Screen go to Products > Settings. Click “Edit” on the product you want to edit.

2. Under Additional Options, fill in the Max and Min Capacity fields for the product according to your preferences.

Price Lists are a way to have different prices at each of your locations or to create temporary prices in the case of a holiday or sale.

1. On the Management Screen, click on Products > Price Lists. Then click “Add New Price List”.

2. Under General Information fill in your price list name, then select the desired locations from the drop down menu.

3. To edit the prices for all products, click “Select All For Bulk Edit”, then check the box for “Update Pricing”. Fill out the desired information then click “Update Selected Products”. Then click “Save” on the bottom.

4. Once you have created a Price List you may also turn it on or off by going to Locations > Settings. Then click on Edit > Preferences on the desired location.

5. At the very bottom of the page you will be able to add or remove price lists.

2. Under “Rank”, select the color you want to apply to the product based on the product’s popularity. Then click “Submit”.

The Payroll Changes report allows you to view changes made to employee’s hours.

Tip: To access the Payroll Changes Report you must have Secretary or Regional Manager access and above. Under User Access Levels in Custom Roles in the Secretary section you may also find a check box for Payroll Changes.

1. On the Manager’s screen go to Users > Payroll Changes. Choose the desired date range at the top to view Payroll Changes. On the right side click Options > User Report to make changes to the log.

2. In User Report you may make any necessary changes.

    To Add or Edit an Employee’s hours, follow the directions below:

    1. To add a day of work without specific hours, simply click on “Add New Day” and fill out the information.

    2. To add a check in/out for the employee, click on “Add Check In/Out”. Then fill out the necessary information and click “Add Check In/Out” at the bottom once finished.

    3. To edit hours for an employee, simply click on the “Edit Time” button next to their hours worked. Then make the changes as necessary.

    How to set up commissions for employees:

    On the Management Screen click on Users > Settings > Then click on “Edit User” on the user who’s salary you would like to set up.

    Flat Commission

    Flat Commission is fixed amount that the employee receives on their total sales per day

    To set up a flat commission, simply click the User Salary tab, then click on the toggle next to “Flat Commission”. Then enter the amount you would like the employee to receive.

    Commission Steps

    1. First click the User Salary tab, then check off the Commission Steps box and begin filling out the steps

    • The “From Column” will automatically start from zero in the first step
    • In the “To” column enter the dollar amount where the step should end at
    • In the “Commission” Column enter the commission percentage the employee should get if their total sales fall within this step
    • Please note that the commission steps are calculated by total sales per day

    According to the example above, if an employee’s total sales are $200 for the day, they will receive 5% commission for the first $100 and 10% commission for the remaining amount

    Using the Retro Button

    When the retro buttons are checked, the employee’s commission for the step they fall under will apply to their entire sales total

    According to the example above, if an employee’s total sales for the day was $500, the employee will receive 20% commission for the entire amount.

    Base Salary can either be in addition to other salary options such as commissions, or it may stand on its own.

    1. On the Management Screen, go to Users > Settings, then create a new user or click on “Edit User”

    2. Click on “User Salary” and turn on the toggle next to “Base Salary”. Add a dollar amount, then select either Weekly or Monthly depending on your desired time period 

    4. Choose which location the employee should be paid for under “Add as expense to”. Then click “Next” and “Submit” to save.

    1. On the Management Screen, click on Users > Settings. Confirm the region at the top of the page, then either click “Add New User” or  “Edit” for an existing Employee.

    2. Click on the “User Access Level” tab and choose the access level desired by checking its box. Then click “Save”.

    1. On the Management Screen, click on Users > Settings. Then click “Edit” on the desired employee. Make sure the employee is set to “Active”.

    2. Under the “User Access Level” tab, confirm that the employee has access to the new region by checking the box next to the region name.

    1. On the Management Screen, click on Users > Settings. Confirm the region at the top of the page, then either click “Add New User” or “Edit” for an existing employee.

    2. Under the “User Salary” tab, turn the toggle off next to “Include break in total hour count”. Then click “Save”.

    2. Make any desired changes, then click “Save”.

    1. On the Management Screen, click on Users > Settings. Confirm the region at the top of the page, then click “Edit” on the desired employee. 

    2. Uncheck the box next to “Active” to delete/deactivate the employee. Then click “Save”

    3. The employee will now be inactive. For future reference you may access information about inactive employees by checking the inactive employee radio button inside the “User Settings” screen.

    1. On the Management Screen, click on Users > Settings. Then click on “Edit User” for the appropriate employee.

    2. You may change the password in the field under the employee’s photo and username. Click Next on the bottom and then Save.

    Note: You may need to fill out other required information before saving the changes to the new password.

    1. On the Management Screen, click on Users > Report. Click the side arrow to show more options, then click on “Reimbursements”. 

    2. Click on “Add Recurring Reimbursement”. Fill out the necessary information, then click on “Add Recurring Reimbursement”.

    Note: To add a one time reimbursement, input 1 into the “Every” field, then make the start date and end date the same day.

    2. Click on “Change Picture” to add a picture for your employee from your photo library. Then click “Save”.

    3. To update the inventory according to the count, first click on “Edit”. Then select either products individually or click on “Select All for bulk edit”

    4. Click on “Fix Selected Counts” to update the inventory according to the selected counts

    1. From the Management Screen, click on Inventory > Settings > Update Inventory. Then select the desired location.

    By default, you will only see products that are currently in the inventory at the chosen location.

    2. Under Quantity to Add/Remove, add quantity by inputting a number greater than 0, or remove quantity by inputting a number less than 0. Then click “Update Inventory” at the bottom.

    1. On the Management Screen, click on Inventory > Settings > “4. Report Tester/Damage/Loss”.  Select the correct Location. Click “Open Product List” to select the desired products.. Fill in the details, then click “Loss Report”.

    1. On the Management Screen click on Inventory > Settings then select the correct region and location at the top. Click “remove” on the item you want to remove from the inventory, then click “remove” again in the confirmation window.

    After an item is added, it will NOT show up on the Sales screen until you add quantity to the inventory.

    1. On the Management Screen, click on Inventory > Settings. Select the appropriate Region and Location, then click on “Update Inventory”. From the drop down menu select “Show products that are not in the inventory at this location”.

    Snapshots of your Inventory will be taken automatically. You may choose if you would like them Daily or Weekly

    1. On the Manager’s Screen click on Locations > Settings > Edit > Preferences 

    2. In the “Inventory” section, Click the toggle next to “Save Inventory History”. Then select if you would like to save the Inventory History daily, or weekly on a specific day of the week.

    3. To view the Inventory History for a location click on Inventory > History > Open History

    1. On the Management Screen, click on Inventory > Transfers > New Transfer. Then select “P.O” from the dropdown menu.

    2. Fill out the necessary vendor and location information. 

    3. Select the products, then add the quantity you would like to order under “Request Quantity”. 

    4. Fill out the shipping information, then click “PO” to submit the order.

    1. To create a new Inventory transfer to send, on the Management Screen click on Inventory > Transfers > New Transfer > Send

    2. Select the appropriate Source and Destination locations.

    3. Select the products you want to transfer, then enter the desired quantity to transfer. Then click “Send” at the bottom.

    If you order merchandise from your wholesaler through Nova’s Purchase Order Feature you may add the total cost of your items directly into your cost report.

    1. From the Manager’s Screen go to Inventory > Transfers. Click on New Transfer, and then on P.O

    2.  Click the toggle to turn on Save cost as Expense

    1. From the Management Screen, click on Customers > Management. Select the desired customer, click on the arrow under “Actions”, then click “Edit”

    2. Make the necessary changes for each tab, then click “Save”.

    If you would like to attach or move existing customers to a specific location to receive SMS messages, follow the steps below.

    1. From the Manager’s Screen go to Customers > Management. Then click on “Add New Customer”.

    1. Option 1: On the Management Screen click on Locations > Reports. Select the desired date range. The “Total Profit” will be displayed as shown below.

    First Method: On the Management Screen, click on Dashboard. Then select the desired Location and Date Range

    1. To add an expense, on the Management Screen click on Accounting > Expenses. Then click on “Edit Categories”.

    2. Fill out the new category name, then click “Save”.

    3. Then click on “Add New Expense”. Fill out the required information then click “Save”.

    Note: To add a one time expense, simply type 1 in the field for “No of m/w”. (CONFIRM)

    Any regular invoice can be edited to change almost all of the details on the invoice.
    Note: Refund invoice and layaway invoice cannot be edited.

    1.  Locate the invoice and click open.

    2. Click on “Actions”, then on “Edit Invoice”

    3. Editing Product Details

    • To edit the details of an existing product on the invoice, first click on “Edit”, then fill out the changes and click Save.

    • To add a new product to the invoice, first click on “Add New Product”, then fill out the product details and click Save.

    4. Editing Payment Details

    • Under “Payments” you will be able to edit the details of an existing payment. You can also add and remove payments as desired.

    5. Editing User Commission 

    • Under “User Commission” you can edit the commission details for the existing sales representative(s). You can also add and remove users to the invoice as desired.

    6. Editing Products Commission

    Note: Product Commission needs to be turned on for the sales representative

    Note: Extra Commission needs to be turned on for the product that is being sold

    • Adding Products Commission lets you add extra commission for a product on the invoice. This product commission can be added, changed, removed without affecting the sales representative’s standard salary

    1. On the Management Screen, click on Accounting > Invoices. Select the desired location and date range. Then click “Open Invoice” on the desired Sale/Invoice.

    2. Click on the “Actions” drop down menu, then click “Remove Invoice”. Then confirm the deletion by clicking “Remove” on the confirmation window.
